Database/Prospect Research Administrator Division of Institutional Advancement, SUNY Cortland

The Research Foundation for SUNY Cortland has an immediate opening for a full-time (37.5 hrs./wk.) Database/Prospect Research Administrator supporting the informational needs of the division of Institutional Advancement through the on-going development and maintenance of the database of alumni, friends, parents, corporations and foundations with affiliations to SUNY Cortland.

Data Management

  • Maintain system integrity, security, quality and accuracy of the database •Respond to data requests for personal visits and special events •Update Institutional Advancement information systems with campus systems and other sources by acquiring, importing and retrieving student, parent, faculty/staff, emeriti and alumni records and other pertinent information, such as alumni event attendance, scholarship, and special interest into the Raiser’s Edge database system •Establish, implement and document data processing procedures •Execute year-end procedures to facilitate financial audit and collect data to recognize donors in the Annual Report •Train new employees, student workers and other Institutional Advancement employees on appropriate Raiser’s Edge procedures as well as MS Office software •Review and investigate advancement software to enhance record-keeping and data credibility •Oversee the activities of the Database Specialist and the Information Systems Specialist.
  • Participate in campus-wide Information Security meetings •Develop effective dashboards to track fund and campaign performance, and moves management •Generate customized queries, reports and lists, including exports, regular giving/revenue reports, renewal and pledge reports, performance analysis reports, etc.
  • Quarterly NCOA (National Change of Address) data cleaning

Prospect Research

  • Provide alumni and friend information (including wealth screening, affinity groups, demographic information, and contact information) for the President and for Institutional Advancement initiatives, including for individual fundraising visits, event planning, marketing and communication projects, and annual fund efforts •Coordinate external constituent research, using office information systems, including internet sources, vendors, and other complementary tools that are either vendor- supplied or developed internally

Required Qualifications: Bachelor’s degree with relevant work experience in data management analysis, accounting, records administration and/or gift processing. In lieu of a Bachelor’s degree, an Associate’s degree with at least five years of experience in data management, records administration and/or gift processing will be considered. Candidate must possess excellent computer literacy including internet research and MS Office. Candidate must have exceptionally strong verbal, written and telephone communication skills.

Preferred Qualifications: Experience in Higher Education or not-for-profit fundraising support roles.  Experience using Raiser’s Edge, I-Modules and ImportOMatic Software.
